1a. What Happens If I Cancel? For all meetings and events, there needs to be an agreed ‘cancellation policy’, as cancellations cost the hotel money. Here’s how ours works. Date of Cancellation Charge Payable By You Between 12-6 weeks prior to the meeting date 10% of total booking value Between 6-4 weeks prior to the meeting date 25% of total booking value Between 4-2 weeks prior to the meeting date 50% of total booking value Less than 2 weeks to the meeting date 75% of total booking value 1b. Could Cedar Court Cancel My Booking? In the unlikely event that Cedar Court have to cancel your booking, you’ll receive all your advance payments, although Cedar Court will not have any other liability. However, Cedar Court may only cancel if: · Any part of the hotel is closed or unavailable due to events beyond our control. · If you, or we, become insolvent, or in the case of an individual, become subject to bankruptcy petition. · The booking, the persons associated with the booking and / or the purpose of the meeting might damage the reputation of the hotel or the company. 2. Can I Change My Guest & Delegate Numbers? Of course you can. However, if the numbers go down significantly, the cancellation charges will be applied. So, if you give us more than 2 weeks notice, you can reduce your numbers by anything up to 15% without charge. Over 15%, the charges outlined in item (1a) above apply pro rata. Within 2 weeks before the meeting or event, you’ll be able to change the numbers by up to 5%, but anything over that will be charged at the agreed ‘per guest or delegate’ rate. If numbers are reduced, Cedar Court reserves the right to reallocate the room, to one more relevant to the size of your event. 3 If We Do Not Have a Credit Agreement, When Do I Have To Pay? You’ll need to give us a deposit of 10% of the total booking value when you confirm your booking. Full payment of the balance is due 14 days before the event unless you have arranged credit facilities with the hotel. 4. How Do I Get Credit? A ‘Credit Application Form’ is available on request if you are not a recognised as a credit customer. Separate conditions apply, which can be requested from the hotel. Credit is not automatic, confirmation must be sought after competion of the ‘Credit Application Form’’. Where credit is extended all payments are to be made to the hotel, within 28 days fo the date of invoice. 5. I’ve Got Lots Of Things to Bring To The Hotel We can provide most equipment. However, should you wish to bring your own equipment into the hotel, you must ensure it has been tested and is safe to use. Cedar Court Hotels accept no liability for any equipment you bring to the hotel, and we ask you to comply with the rules set out in the Health & Safety at Work Act. Should you have any queries, out team will be happy to help. 6. Arrival/Departure Bedroom accommodation is available from 2pm and should be vacated by 11am on the day of departure, unless specific arrangements have been agreed with the hotel. The meeting rooms are available for the time shown on your contract. Any extensions may incur additional charges. GENERAL 7. We are concerned with your Health & Safety and that of the hotel. Before fixing signs, displays and posters to the walls, floor or ceiling please seek the advice of the hotel. 8. The hotel reserves the right to refuse admission. 9. The hotel is not responsible for damage or loss to your belongings either prior to the beginning of the function, during the function or after it is over. We can ask for security guards for exceptional goods. 10. Cedar Court Hotel cannot be held responsible for damage or loss of another parties property, however caused. 11. No beverages of any kind are permitted to be brought into the hotel even as a gift or prize. 12. Organisers will be liable for the cost of repairs carried out as a result of any damage caused to any part of the hotel/equipment by the negligence, wilful act/ default of any person invited to the hotel by you or your company. 13. The hotel’s name/logo may be used in publicity, once a proof of the promotional material has been agreed with the hotel. 14. Should you fail to correct any aspect of poor or unacceptable behaviour, you may be asked to terminate your visit. Should this occur, no monies will be refunded to you. 15. The management reserved the right at all times under all circumstances to refuse admittance or service to any person or persons considered as undesirable. 16. Under no circumstances is anyone qualified or partly qualified to install or interfere with any electrical equipment or wiring without full consultation with, and supervision by the hotel engineer. 17. Under no circumstances is anyone qualified or party qualified to install or interfere with any electrical equipment or wiring without full consultation with, and supervision by the hotel engineer. 18. The management reserve the right to disconnect the supply of electricity at any time at their discretion when it is believed to be dangerous or overloading our circuits.
