DEPOSIT REQUIREMENT Initial Deposit (50%) £ Required By Return It is customary for bookings made within 4 weeks of arriving at the Hotel to be prepaid, unless other arrangements have been made. If the agreed deposit or prepayment has not been received, we reserve the right to release the booking withholding any deposits received, subject to the policy outlined under ‘Cancellations’. CONFIRMATIONS All bookings will be held on a provisional basis until this Conference/Banqueting Terms and Conditions are signed and returned and the initial deposit paid. 1. VAT In the event of any change in the taxation beyond the Hotel’s control (e.g. increases in the rate of VAT), the Hotel will vary the price quoted to any extent which reflects the change. All prices are subject to change without notice. 2. CANCELLATIONS In the event of any cancellation, alteration or reduction in numbers by the Client, the Hotel will undertake to mitigate it’s losses and to re-let the rooms at similar rates. The Client will be responsible for the loss incurred by the Hotel in the event that rooms remain unoccupied, or are occupied at a lower room rate on the date(s) booked. The cancellation charges imposed by the Hotel will therefore reflect the actual loss. Any postponement of confirmed business will be treated as a cancellation. To safeguard against unforeseen cancellations, we recommend you take out an insurance policy to avoid disappointment. 3. CREDIT Credit is only available if agreed with the Hotel prior to arrival, by completing the Credit Application form. 4. AGENTS Should the Client contract with the Hotel through an Agent, the Agent acts in that capacity for the Client and not the Hotel. The Client therefore accepts responsibility for payment of the Hotel’s account. 5. LOSS OR DAMAGE The Client is responsible for any loss or damage caused by the Client or his Guests, Agents, Employees, Contractors etc. 6. FINAL PAYMENTS Credit facilities can only be granted by prior arrangement and must be agreed at least 14 days prior to arrival. Payment of any final outstanding account, is due on presentation of invoice and must be made in pounds sterling. No allowance or refund can be made for meals and other elements not taken within the agreed quoted rate. 7. ROOMING LIST Please forward this to us at least ten days prior to arrival. 8. SERVICE All of our prices include a discretionary service charge of 2.5% on accommodation and 10% on food, drinks, treatments, hairdressing and tennis coaching.
