TERMS & CONDITIONS Definitions 1. “CIM”/”We” means Moor Hall Conference Centre, The Chartered Institute of Marketing. 2. “The Client”/”You” means the company/organiser responsible for the booking and payment of the event. 3. “The Contract” means the agreement between Moor Hall Conference Centre and the Client for a specific booking (or series) Charges and Payment 4. The invoice will be sent to you a week after the event and payment is due within 14 days of receipt. Confirmation by the Client 5. All bookings are provisional until the contract is signed and sent back to the Conference & Event Executive by the due date 6. The contract must be returned within FIVE working days of the date of issue. If the contract is not received in that time, WE have the right to release the space and re-sell the facilities. 7. Delegate numbers must be received 7 days prior to the event – along with the confirmation of final timings, menus, and other special requests made by you. Amendments by the Client 8. Please advise any amendments to delegate numbers and/or arrangements to us as soon as possible – these must be in writing also. 9. All no-shows on the day will be accounted for on the invoice. 10. Should there be a 20% or more reduction in delegate numbers within the 14 days prior to the event, there will be a cancellation charge. Cancellation by the Client 11. If you have to cancel or postpone your confirmed booking at any time prior to the event, we will make every effort to resell the space on your behalf. However, we reserve the right to apply the following charges. a) More than 42 days notice – No charge b) 42 – 31 days notice – 30% charge c) 30 – 15 days notice – 50% charge d) 14 – 8 days notice – 85% charge e) 7 – 0 days notice – 100% Unless otherwise agreed by the General Manager in writing Arrival/Departure 12. The accommodation is available from 2.00 pm on the day or arrival and must be vacated by 9.00 am on day of departure unless specific requirements have been requested. 13. The meeting room is available at the time requested on your booking form. Any extension may lead to additional charges. Alterations We reserve the right at all times to alter or change the rooms or accommodation to be provided to the Client for the purposes of the function provided that such alteration or change does not materially and adversely affect the function. General 14. If arranging the help of another supplier you must have CIM’s consent in writing – we will not accept liability for any costs incurred with such suppliers. 15. Should any of your party have poor or unacceptable behaviour as determined by CIM, you may be asked to terminate your stay. Should this happen you will be liable to CIM for payment in full, as per your contract. 16. CIM’s logo may not be used on promotional material or for any form of publicity without our written consent. 17. Gymnasium – any person using the gym does so entirely at their own risk. CIM assume no responsibility for loss, damage or injury to property or persons using any of the equipment or weights in the area and all such liability is disclaimed. 18. Prices quoted exclude VAT at the standard rate and are subject to change should this rate vary. 19. CIM will not be liable for any loss or damage to the property of the client. In the case of loss or damage to property, it shall be reported to the Duty Manager/Reception at the time of the discovery.
