Conferencing and Events

The Royal College of Physicians of Edinburgh provides a unique blend of historic and modern facilities located in the heart of the city just minutes walk from the bus and train stations. Whether you are planning a conference for 300 or a meeting for 10, our flexible layouts make the perfect choice.

For social events, our historic rooms are guaranteed to give the “wow” factor and for meetings our conference centre provides excellent, up-to-date AV facilities.

For your refreshments, you choose from one of five external caterers. Example rates for two servings of teas and coffees and sandwich lunch are £17 per person.

Conference Centre

The Queen Mother Conference Centre accommodates 300 delegates in raked seating, each with a foldaway writing table. The auditorium has excellent acoustics and is equipped with a full range of audiovisual equipment and a keypad voting system for use by delegates for instant feedback on your proceedings. Our in-house AV technician will provide support for your event and will be pleased to give advice and assistance with any special requirements. The Foyer surrounding the auditorium provides generous space for delegate registration, exhibitions, informal breakout sessions and catering. You will also have the services of a door attendant to welcome delegates on arrival.

Meeting and Breakout Rooms

We have flexible meeting space on two floors close to the Conference Centre. All our meeting rooms have natural light and provide a variety of layout options.

Meeting Rooms 1 to 5; the Cullen Suite and the Seminar Room provide seating for up to 60 delegates. For larger meetings or breakouts, the New Library and Great Hall provide seating for up to 180 people. We can provide video conferencing in the Conference Centre and the Seminar rooms. Our Physic Garden provides a tranquil area in which to relax.

Social Events

We have glorious Victorian and Georgian function rooms ideal for social events. Whether you are looking to host a dinner for 150, an informal supper for 50 or a reception for 100, our galleried New Library, pillared Great Hall and Robert Adam designed Cullen Suite await. The Great Hall benefits from one of the largest dance floors in Edinburgh.

Audio Visual Equipment

All AV facilities in the Conference Centre, together with the dedicated services of an AV technician are included in your quotation. The Great Hall, Seminar Room, Meeting Rooms 1 and 2 combined and four and 5 combined have a data projector, laptop and screen included. Additional AV equipment, lighting and staging can be sourced through the College for other meeting rooms. WiFi access is available in the Conference Centre.

Access to the College

As a listed building, the College has restricted disabled access. Delegates requiring assistance are asked to use the rear entrance where a wheelchair lift is provided. This entrance gives access to the Conference Centre, Great Hall, New Library and Cullen Suite. Meeting Rooms 1 to 5 and the Seminar Room are not accessible by wheelchair.

For delegates arriving by car, the NCP car park is a short walk away in York Place. On-street parking is available on Queen Street and adjacent roads. The bus and train stations are just a few minutes walk from the College with Edinburgh International Airport approximately 25 minutes drive by taxi or airport bus.

Catering, Accommodation and Suppliers

We have a specially selected and approved list of caterers from which we ask you to choose. You will work directly with the caterer to plan your requirements for the day. Chair and table hire for receptions and dinners is included in your quotation. We do not charge VAT on room hire.

We have negotiated preferential pricing with hotels that are within walking distance of the College and maintain a list of selected suppliers including entertainment, florists, musicians etc.

Location

The Royal College of Physicians is located within a few minutes walk of the main train and bus stations, hotels and main shopping areas. It is within easy reach by road. Parking is available on street (metered) or at the NCP multi-storey car park; 7 minutes walk from the college. Edinburgh airport is approximately 7 miles from the city centre.
