UNITED BUSINESS CENTRES PLC MEETING ROOM TERMS AND CONDITIONS 1. United Business Centres will endeavour to satisfy your requirements, however, they will not be liable for any claim, loss or damage sustained by the client as a result of United Business Centres failing to provide meeting rooms or additional services, to include availability of audio, visual and overhead equipment beyond their reasonable control. 2. UBC will under no circumstances be liable for any consequential loss, loss of profit or business suffered by the client. 3. UBC will be indemnified against any claims, liability or loss arising from any breach of this agreement by the client or from negligence or omission by the client. 4. The additional services available at the Business Centre will sometimes require the services of a third party supplier or service provider. United Business Centres will under no circumstances accept liability for any consequential damage or loss caused by those instructed. Full details of services (including cost) are available from the concierge. 5. In the event of any cancellation by a client United Business Centres should be informed in writing but will reserve the right to apply charges and any other expenses incurred. 6. Bookings for meeting rooms for more than 8 people and additional services that are made at least 30 days before the venue dates will require a 50% non-refundable deposit. 7. For any cancellation received 2-4 weeks before the venue date the amount charged will be 75% of the total amount invoiced. 8. For any cancellation received 2 weeks or less before the venue date the amount charged will be 100% of the total amount invoiced. 9. For any cancellation received for smaller meeting rooms 48 hours and up to 7 days from the venue date, for 8 persons or less, the amount charged will be 50% of the total amount invoiced. 10. For any cancellation received as described in clause 9, for 48 hours or less, the amount charged will be 100% of the total amount invoiced. 11. Payment for all meeting rooms and additional services should be paid for immediately with a completed and signed booking/agreement form. 12. Payment for all meeting rooms and additional services for existing clients who have an existing signed agreement will be invoiced accordingly under the agreed terms and conditions. 13. Payment for all meeting rooms and additional services, paid for by credit or charge card will incur a 3% charge. 14. This agreement is governed by English Law. Data Protection Act 1998 By reference of the Data Protection Act of 1998 United Business Centres Plc reserve the right to appoint third party suppliers, debt collection and tracing agents to assist with the processing of this application and in the event of any future default or any breech of any terms or conditions. Money Laundering Regulations 2003 Proceeds of Crime Act 2002 United Business Centres Plc operates its business in accordance with the above regulations and if necessary will make such inquiries as may be deemed appropriate from time to time and may report any unusual transactions to the appropriate authorities. Proper forms of identification (e.g. passport) will therefore be required for this application. The Late Payment of Commercial Debts (Interest) Act 1998 United Business Centres Plc has an accounting policy which includes the terms of the above act. The rate of interest that may be claimed will be in accord with the act at a percentage of 8% above the Bank of England base rate. In the event of any amount falling due a monthly administration charge of twelve pounds per month may be incurred and interest will be added and charged at a daily rate. Agreement This agreement is made between the operator and the client in respect of the requirements and services agreed as above. The Client agrees to pay the total amount in accordance with the Terms and Conditions. Payment by credit or charge cards will incur a 3% charge. This agreement is made on the Terms and Conditions published by United Business Centres Plc (“The Terms and Conditions”). The client confirms that it has read and understood and agrees to be bound by the Terms and Conditions and the operator agrees to provide the services and facilities.
