Terms & Conditions of business Conference & Accommodation Bookings All bookings made by customers in respect of meeting room(s) or bedroom(s) at City Inn are accepted by (City Inn Ltd) herein after called (“The Company”) upon the following terms and conditions. 1. In the event of cancellation of any booking or non-arrival by a customer, the Company will take responsible steps to re-sell the meeting room(s) or bedroom(s) and minimise the loss to it. If the Company is unable to re-sell on similar terms, a cancellation fee on the following basis shall be payable:- Meeting Rooms & Accommodation:- Once confirmed 10% of anticipated revenue 3 months before arrival 50% of anticipated revenue 2 months before arrival 75% of anticipated revenue 1 month or less before arrival 100% of anticipated revenue 2. All cancellations must be received in writing. 3. The Company reserves the right to cancel any booking forthwith and without liability on its part in the event of any damage, or destruction of the Hotel by fire or other causes, any shortages of labour or food supplies, strikes, walkouts, or industrial unrest or any other cause beyond the control of the Company, which prevent it from performing its obligations in connection with any booking. In these circumstances every effort will be made to accommodate the booking in another similar establishment. 4. The customer shall notify the Company in writing not less than three working days prior to the event of the final number of delegates attending. If a booking is accepted by the Company on the basis of a minimum number of people attending the amount payable by the customer shall be calculated on such minimum number, or the number actually attending whichever is the greater. 5. For all 8 and 24 hour packages the Hotel will charge for a minimum of 10 delegates. 6. The Company reserves the right to require payment of a deposit or full payment at any time prior to the holding of an event. Deposits are non-refundable. 7. Credit facilities will only be extended to approved account holders, whom it is anticipated will spend more than £500 per month or £6000 per annum or for an event worth more than £1000. 8. Payment is due on receipt of invoice. In the event that payment becomes overdue the company reserves the right to charge interest of 2.5% per month on any monies outstanding. 9. The company shall not accept responsibility for the property of customers or their guests. 10. The customer shall be responsible for damage caused to the hotel or furnishings & equipment therein and shall pay to the company on demand the amount required to make good or remedy such damage. 11. The customer will not arrange for the delivery of goods to the hotel without prior arrangement. 12. The customer shall not store inflammable, combustible or objectionable substances or liquid. 13. Food & drink other than that purchased within the hotel shall not be consumed within the hotel, unless by prior arrangement. 14. Check-out time is 12 noon on the morning of departure. Bedrooms are not retained after 02.00pm unless one night’s terms have been paid in advance or a confirmation secured by credit card. 15. All conference meetings must terminate by 05.00pm unless a later time is specifically agreed with the company. 16. The customer must not sublet the meeting rooms or any part thereof. 17. The customer must not in any way seek to use the Company’s name with a view to promoting its event without the prior consent of the Company. 18. The Company reserves the right to terminate the use of the meeting rooms used by the customer if used for a sale of any kind. 19. Changes may be made where necessary in respect of any particulars contained within this contract and any such changes will be communicated to the customer either verbally or in writing.
