Terms and Conditions Conference and Banqueting Agreement 1. Definitions “The Client” – means any person, company, organisation or entity wishing to book the services of the club “The Club” – means Birmingham City Football Club. “The Premises” – any suite, room or area owned by the Club and situated at St. Andrew’s Stadium. “The Suite” – means any room or area hired for use by the client from the Club. 2. Confirmations of Booking All bookings are provisional only until such as this Agreement is completed and signed by the Client and the Club where upon these Terms and Conditions shall become binding. 3. Deposits A non-refundable deposit amounting to 10% of the expected total cost or £100, whichever is the greater, will be required at the time of booking with a further 50% payable 28 days prior to the function date. No invoices will be raised for deposits but receipts will be issued. 4. Cancellations All cancellations must be made in writing to the address overleaf. In the event of cancellation the following charges shall be payable. Up to twelve weeks prior to the function – loss of deposit Up to four weeks prior to the function – 50% of the expected total cost Up to one week prior to the function – 90% of the expected total cost Less than one week prior to the function – 100% of the expected total cost 5. Payments Full settlement of the account is payable upon receipt of invoice. In the event of any queries on such account 90% of the outstanding balance must be paid within 14 days of the query with payment of the remaining balance to be made within 7 days from settling any such query. The company reserves the right to charge interest at 4% above base rate on any payments outstanding after the due date. VAT at the prevailing rate will be added to all quoted prices 6. Amendments to Numbers The client shall confirm to the Club the number of people attending the function 14 days prior, such number to be no less than 90% of the estimate on the front of this Agreement. This figure may, however, be increased subject to the club’s agreement up to 48 hours prior to the function. 7. Corkage The Client may not bring food or drink onto the premises unless the prior written consent of the club has been obtained and for which a charge shall be made. 8. Football Fixtures The Club has accepted this function booking in good faith but reserves the right to cancel in the event of a first team football fixture being re-arranged for such date. In this event the club will offer an alternative date and / or use its reasonable endeavours to help the Client to make alternative arrangements. 9. Liability The Club accepts no responsibility for any property brought on to the Premises by or on behalf of the client, its servants, agents or guests. 10. Damage The Client shall be responsible for any damages caused to the Premises arising from the holding of the function and shall pay to the Club upon demand the amount required to make good any such damage or replace such items as are lost or stolen.
