Terms & Conditions Glossary: The Event: Refers to the event detailed on the booking form attached The Organiser: Refers to the Organisation or individual making the booking details attached NRT: Newmarket Racecourses Trust of Westfield House, The Links, Newmarket, Suffolk, CB8 0TG 1. A non refundable deposit equivalent to not less than 25% of the total booking value (including VAT) is required at the time of booking. 2. The balance outstanding on the booking is required no later than 4 weeks prior to the date of the Event. Non payment by the due date may result in cancellation of the Event by NRT. 3. The Organiser will be responsible for any damage caused during or as a result of the Event to the property, land, buildings, furniture or equipment belonging to NRT or hired in for the Event by NRT and will make restitution to NRT to the full replacement value of the item/s damaged. 4. Where a per head charge is agreed, final numbers must be confirmed within 7 working days prior to the Event. 5. Cancellation of the Event by the Organiser must be made in writing and received by NRT at least 4 weeks prior to the Event. Cancellations made between 14 and 28 days prior to the Event will result in 50% of the total value of the Event being due to NRT. Cancellation of the Event within 14 days of the Event will result in 100% of the value of the Event being due to NRT. 6. NRT reserve the right to invoice after the Event for any additional items used but not ordered at the time of booking. 7. Letheby & Christopher have sole right for the provision of food and liquor at Newmarket Racecourses and therefore any catering arrangements for the Event must be made with or with the co-operation of Letheby & Christopher. 8. NRT reserve the right to offer an alternative location if for whatever reason the Venue is unavailable at the time of the Event. 9. The Organiser will be responsible for payment of invoices levied by NRT in respect of this booking. 10. NRT accepts no liability for losses or damage to personal property at the Venue 11. The Organiser will be responsible for ensuring that guests conduct themselves in an appropriate manner and do not cause undue disturbance to properties neighbouring the venue and that they adhere to the timings booked for the Event.
