EM CENTRE FOR LEARNING TERMS AND CONDITIONS All events booked at the EM Centre for Learning shall be subject to the following Terms and Conditions. Written confirmation of a booking by a client implies acceptance of these Terms and Conditions. In these Terms and Conditions the word Centre refers to the EM Centre for Learning and Client to the person, firm or company booking the event. EM Centre for Learning’s advertised prices are subject to change at any time. The Centre will give you notice in writing at least one month before any increase. Bookings Where a verbal booking has been made it will remain provisional until a written booking form has been received. You will receive confirmation of your booking. You must notify the Centre immediately of any changes to your booking and a new confirmation letter will be sent. Please note the maximum number of delegates that can be accommodated in each room – this number cannot be exceeded. All published prices are exclusive of VAT. Catering An estimated attendance number is required at the time of booking. A minimum of 48 hours notice is required for final event numbers. Any reduction in numbers after this time will not receive a reduced charge. Additional numbers that are catered for will be charged as appropriate. If less than 48 hours notice of cancellation is given clients will be charged 100% of the catering costs. Equipment Please make all requests for equipment at the time of booking otherwise availability cannot be guaranteed. Clients may use their own equipment with the prior permission of the Centre. The Centre takes no responsibility for any equipment brought in and used by the client. The Client will be responsible for any costs incurred by the Centre through the use of the Client’s own equipment. If less than 48 hours notice is given for the cancellation of laptops and video conferencing equipment the Client will be charged in full. The Centre cannot be held responsible if the internet is unavailable in the building for reasons beyond our control. Deposit New Clients will be required to make a non-refundable deposit of 10% of the total value of the booking at the time of booking. Subsequent bookings will not require a deposit. The deposit paid will be deducted from the final invoice. Payment Full remittance must be received within 28 days of the date of the invoice. Cheques should be made payable to ‘The EM Centre for Learning Ltd’. All published prices are exclusive of VAT. Charges may be levied on overdue accounts. Cancellation – by the Centre The Centre may cancel the booking, without prior notice, if the Centre or part of it is closed due to circumstances beyond its control. The Centre will take all reasonable action to alleviate such circumstances. The contract shall not be assignable. Where an event is cancelled by the Centre no charge will be levied and any deposit paid will be refunded. Cancellation – by the Client If less than 48 hours notice of cancellation is given the client will be charged an admin fee of £20.00 (+ VAT) for a half day booking or £40 (+VAT) for a whole day booking. This is in addition to any catering costs that may also be incurred. Health and Safety Clients and their delegates are required to comply with all Health and Safety and general instructions issued. Fire instructions and fire escape routes are displayed in all conference rooms and should be indicated to delegates by the course tutor at the commencement of the event. Fire escape routes must be kept clear at all times. Please note that there is a No Smoking policy at Litton House with which all clients and delegates are required to comply. Liabilities The Centre will not accept liability for loss or damage to personal effects, motor vehicles or other items brought onto the premises. The Centre will not accept any liability for any death, illness or injury to persons unless caused by the Centre’s negligence. The Client shall indemnify the Centre in full, against any loss, damage or costs incurred by the Centre, which is caused by the Client or their delegates. Any Client or delegate who behaves in a manner deemed to be disruptive will be excluded from the premises and no refund will be given. If you have any complaints prior to, or during the event, please notify us immediately and our staff will do what they can to help. The Centre will not be liable for any complaint or claim unless notified in writing within seven days of the event. Whilst the Centre has taken all reasonable steps to ensure that the information contained in its brochures, leaflets and advertisements is correct it reserves the right to alter, substitute or withdraw any service or facility without notice if necessary. A signed copy of these Terms and Conditions is required by all new clients to confirm the booking. Please keep a copy for your records as it will apply to all subsequent bookings.
