Ringwood Hall Hotel Conference Terms & Conditions 1. This form represents your confirmation and contract of your forthcoming booking, and is governed and constructed in accordance with the laws of England. Please return within 7 days signed and enclosing any deposit if appropriate to secure your booking. The person signing the contract must be fully authorised to do so. 2. All prices quoted are current and include VAT. Whilst we endeavour to hold our prices, increased costs to us will be passed on to our clients. The management reserves the right to adjust any prices where necessary. 3. Please note that we operate the following cancellation charge for all confirmed bookings. However any deposits where necessary are non-refundable and not transferable:- Cancellation received with 3 months notice - 25% Cancellation received with 2 months notice - 35% Cancellation received with 1 months notice - 50% Cancellation received with 2 weeks notice - 75% Cancellation received with 7-14 days notice - 85% Cancellation received with 3-7 days notice - 90% Cancellation received with less than 3 days notice - 100% In the event of a cancellation for accommodation the hotel will use its best endeavours to re-let the accommodation, if successful then the charge for cancellation may be reduced at the discretion of the hotel. 4. Unless an approved credit customer with Lyric Hotels, full pro formal invoice settlement must be remitted to the Hotel no less than 7 days before the conference or settlement by agreed pre authorised credit card before departure. 5. For approved credit account customers, our terms are 30 days, late payment will incur interest charges of 3% above the prevailing base rate at Bank of Scotland PLC. 6. If payment conditions are not upheld we reserve the right to cancel the conference. 7. The hirer shall pay for any loss or damage to any part of the hotel premises, or to any fixtures, fittings and equipment caused by the Hirer, his guests or paid servants whether the damaged item is owned or rented for the conference . We will not be held responsible for damage to any vehicle and other equipment brought onto the premises. 8. The Hirer and all persons attending must comply with all the requirements of the Licensing Act 1964 together with all statuary instruments since enacted. Applications for Licence extensions must be made one month in advance of arrival. 9. The Hotel shall not be liable for any loss or damage except within the constraints of the Hotel Proprietors Act 1956. in the case of loss or damage to the Hirer, it must be reported to the Duty Manager at the time. 10. The hotel shall not be responsible for any failure to provide facilities contracted for the event of its being prevented from doing so as a result of “Force Majure” or any other caused beyond its control. 11. All prices are inclusive of Value Added Tax at the prevailing rate at the time of booking. We reserve the right to alter prices to take account of any variation.
